Privacy Policy

The Württemberg State Library provides their users with an extensive range of services on behalf of the state and on the basis of their Terms of Use. In order to fulfil this task as well as render and secure the associated services, the library requires personal data such as name, address, date of birth, e-mail addresses at different instances.

We collect and use your data solely in the scope of the provisions of the Data Protection Act of the Federal Republic of Germany and only to fulfil the requirements associated with the provision of our services. Data is not disclosed to third parties, nor is it evaluated in a personalised manner.

If processing involves automated processes to provide support, this results in logfiles which are deleted at regular intervals.

The following processes currently require your data:

  • Lending, interlibrary loans
  • Payment processes
  • Internet services
  • Catalogue functions (extended)
  • Establishing contact
  • Newsletters
  • Courses
  • Social media
  • Statistics

Using the library

In order to establish a user relationship and to ensure the many services such as lending, interlibrary lending, extended catalogue functions, the following data is collected via the use of forms:

  • Last name, first name
  • Salutation
  • Address (second address where applicable)
  • E-mail address
  • Date of birth
  • Group membership
  • Consent by the legal guardian where applicable

Payment processes

If the use results in processes subject to fees such as late fees, digitalisation, copies etc., when settling invoices and at the cash machines,

  • bank details

are collected in addition. The payment process at the cash machine is actually processed by a service provider that works on our behalf in accordance with the rules of order processing.

Internet services

User authentication is necessary for the various Internet services, e.g. for using electronic resources, personalised PC workstations with their own working space (home space) on our servers. To this end, we use

  • The user number from the library system
  • Group membership from the library system
  • IP address
  • Last name and first name where necessary

To secure the proper use of the BELWUE connection of the Württemberg State Library whilst the website is being used, the user identification, the IP address and the duration of use are recorded.

Establishing contact

Other services offered such as acquirement proposals, enquiries for information etc. make it necessary for the library to contact you. To do so we use

  • Last name, first name
  • E-mail address
  • User number
  • Address where necessary

Newsletter

Every interested party can subscribe to receiving the latest information about news, courses and events at the WLB on a regular basis by registering. To do so, we need your

  • E-mail address

Courses

The library offers an extensive range of courses for various target groups. To this end, data is collected separately:

  • Last name, first name
  • Group membership
  • E-mail address
  • Telephone number
  • User number where necessary

Social media

The WLB runs its own Facebook page. User management and data protection are subject to the regulations of the service provider Facebook.

Statistics

The WLB maintains user statistics for the further development of their services offered. To this end,

  • Group membership
  • Age
  • IP address
  • Catalogue enquiries

are analysed and processed in anonymised form. Data is not disclosed for any other purposes, nor to form a profile.

Data integrity

As per Section 32 GDPR, the Württemberg State Library applies technical and organisational security measures to protect the data collected about you from unauthorised access and misuse. The safety precautions are constantly revised in line with technological advancement and under due consideration of the respectively applicable statutory regulations.

Liability

The Internet connection via the facilities of the Württemberg State Library is unencrypted. The library does not assume any liability whatsoever for the data transmitted via their facilities.
The Württemberg State Library is responsible for their “own content” that they provide for use in line with general law (§ 7 TMG).
This own content must be differentiated from cross-references (“links”) to content provided by other providers.
By way of these “external links”, the Württemberg State Library provides access to “third-party content” (§ 8 TMG). The Württemberg State Library is not responsible for the “third-party content” as they have not induced the transfer of the information, have not chosen the recipient of the information transmitted and have neither selected nor changed the information transmitted.

Right to information and right to deletion

You have the right to obtain information about the data stored by the WLB about you at any time and free of charge and, whenever necessary, demand it is corrected or deleted (Section 15 GDPR).
The right to information can be limited under certain conditions as per § 9 LDSG. Without prejudice to that, the right to submit a complaint to the supervisory board, which is the “regional representative for data protection and freedom of information Baden-Württemberg”.
